HR Administrator

We are looking for a strong administrator to work with the HR team handling the day-to-day HR Administration tasks, being able to organise and prioritise and the main point of contact for any queries and dealing with a wide range of administrative tasks.

KEY RESPONSIBILITIES

  • Support maintenance of our HR system, ensuring all employee records are accurate and complete (both in paper and digitally) ensuring compliance with GDPR
  • Assist with the maintenance of the HR inbox, escalating queries as appropriate
  • Be the first point of contact for all HR-related queries.
  • Organising meetings and taking minutes
  • Assisting department managers with the hiring process
  • Setting up recruitment and training events, arranging and booking training, keeping training records up to date. General administration of the recruitment process i.e., placing adverts, interview confirmation, screening applications, rejection letters, feedback creating induction plan
  • Updating HR documents and creating newsletters
  • Support day to day administrative tasks within the HR Team
  • Liaising with new starters upon offer of employment, producing and sending contracts of employment, requesting references and coordinating new starter set-up on system.
  • Selecting a shortlist of candidates for second interviews with a member of the team. Schedule interviews and keep calendars for all hiring teams and candidates.
  • Updating employee holiday and sickness records
  • General HR, Health and Safety KPI administration, running weekly, monthly annual reports
  • Preparing and distributing necessary documents, i.e., employment contracts and letters.
  • Taking minutes and organising meetings.
  • Monitor exit questionnaires and be on top of the questionnaires for upcoming leavers
  • Respond to references
  • General office administration tasks

 

REQUIRED SKILLS

  • They must possess a high degree of professionalism and discretion and must know how to represent both the company policies and the needs of the employees.
  • Meticulous attention to detail and able to apply a methodical approach to all tasks.
  • Comfortable liaising at all levels within the business, have excellent communication and interpersonal skills
  • The ability to work well with others with active listening skills
  • Highly organised and able to work within set deadlines
  • Comfortable working independently and able to use their initiative.
  • Have excellent IT skills, including word, Excel, PowerPoint, and Outlook.
  • Advantageous if previous knowledge of human resources and employment law
  • Previous experience of working in a fast-paced administration role Be confident and proactive, whilst be able to react quickly and efficiently.
